Privacy Policy

Automator.au is committed to handling your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. This policy explains what we collect, why, and how you can exercise your rights.

Who we are
Automator.au is an AI automation consultancy based in Perth, Western Australia. Services are provided by Spirit I.T. PTY LTD atf Spirit Unit Trust t/a Automator AU (ABN 52 997 416 428). We help Australian service businesses design and implement workflow automations. In this policy, "we", "us", and "our" refer to Automator.au.

What personal information we collect
We collect only what we need to deliver our services and respond to enquiries:
— Contact details: name, email address, phone number, and business name provided via our contact form or directly by email or phone.
— LinkedIn profile information: if you connect with us through the LinkedIn API or share your public LinkedIn profile, we may receive your name, job title, company, and publicly visible profile content.
— Business information: details about your workflows, software tools, and operational processes that you share during a discovery call or on-site visit.
— Usage data: pages visited, time on page, referral source, and device type, collected via Google Analytics (anonymised IP).
We do not collect sensitive information such as health records, financial account numbers, or government identifiers unless you voluntarily provide them as part of a workflow automation project — in which case that information is handled under a separate confidentiality agreement.

How we use your information
We use personal information to:
— Respond to your enquiry and assess whether we can help.
— Schedule and conduct on-site workflow discovery sessions.
— Design, build, and support automation workflows for your business.
— Send you project updates and invoices.
— Understand how visitors use our website so we can improve it.
— Comply with our legal obligations.
We do not sell, rent, or trade your personal information to third parties. We do not use your information for unsolicited marketing unless you have opted in.

LinkedIn API and third-party platforms
We use LinkedIn's API in accordance with LinkedIn's API Terms of Service. If our automation work involves your LinkedIn account (for example, lead enrichment or outreach workflows), we will:
— Only access the LinkedIn data scopes you explicitly authorise.
— Store that data securely and use it solely for the agreed automation purpose.
— Delete or return LinkedIn-sourced data upon project completion or your written request.
We also integrate with third-party platforms as part of client engagements (e.g. Google Workspace, CRMs, scheduling tools). Each integration is scoped to the minimum permissions required for the workflow. Your data on those platforms is governed by that platform's own privacy policy, and we act as a data processor on your behalf.

When we disclose your information
We may share your information with:
— Service providers who assist us in running our business (e.g. cloud storage, accounting software), bound by confidentiality obligations.
— Regulatory or law-enforcement bodies where required by Australian law.
— A successor business in the event of a sale or merger, on the condition that they honour this policy.
We do not disclose client business information to competitors or unrelated third parties.

How we protect your information
We take reasonable steps to protect personal information from misuse, loss, and unauthorised access. This includes encrypted storage, access controls, and secure transmission (HTTPS). Despite these measures, no internet transmission is completely secure — if you have concerns, contact us directly.

How long we keep your information
We retain personal information for as long as necessary to provide our services and meet legal obligations — typically seven years for financial records (as required by Australian tax law) and three years for general business correspondence. When information is no longer required, we delete or de-identify it.

Your rights
Under the Australian Privacy Act 1988 (Cth), you have the right to:
— Access the personal information we hold about you.
— Request correction of inaccurate or out-of-date information.
— Complain about a breach of the Australian Privacy Principles.
To exercise any of these rights, email hello@automator.au. We will respond within 30 days. If you are unsatisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

Changes to this policy
We may update this policy from time to time. The date at the top of this page indicates when it was last revised. Continued use of our website or services after a change constitutes acceptance of the updated policy.
